Privacy Policy
Last updated: 18 October 2026
Genius Accounting Solutions Pty Ltd (ABN 81 682 807 978), called "GAS", "we" or "us" in this policy, follows the Australian Privacy Principles in the Privacy Act 1988 (Cth). This policy explains what personal information we collect, why, where it goes, and how you can see it, correct it or complain.
1. What we collect
- Contact details you give us: your name, email, phone number, business name and the message you send through our contact form, email, Upwork or a booking link.
- Client accounting data, only when you engage us: records in your accounting system (for example Xero or QuickBooks Online), such as accounts, transactions, invoices, bills, customers, suppliers, members, donors and reports. Some of these records name people.
- Website usage data: our site uses Google Analytics, which records pages visited, device type and approximate location. It does not tell us who you are.
We do not ask for, and do not want, sensitive information such as health details. If your accounting records contain it, we treat it with the same care as the rest of your file.
2. Why we use it
- To reply to you and to provide the services in our engagement letter.
- To read, check and clean up your books, prepare reports, and move your data between accounting systems when you ask us to.
- To invoice you and meet our tax and legal duties.
- To improve our website.
We do not sell personal information. We do not use client data to market to anyone.
3. How we reach your accounting system
We work in your accounting system only through access you grant: an accountant or advisor user, or an app connection you approve. You can remove that access at any time from your own system settings.
GAS Bridge for QuickBooks is our own app connection to QuickBooks Online. It is read-only: it reads your file and cannot create, change or delete anything. The key that lets it connect is stored only on a GAS-controlled computer. It is never stored in shared cloud folders and never shared with anyone. See how to connect or disconnect it.
4. AI tools
We use AI tools (Claude, made by Anthropic) to help analyse data. When we do, the data we work on is sent to Anthropic's service to be processed. Anthropic does not use business customers' data to train its models under its commercial terms. A qualified accountant at GAS reviews every output before it is final. AI does not make decisions about you.
5. Who else may see it
We share information only with service providers we need to do the work, and only as much as the task needs:
- Anthropic (AI processing), Intuit (QuickBooks Online) and Xero (accounting systems).
- Google (Workspace email, Drive file delivery and Analytics) and Amazon Web Services (website hosting).
- Microsoft OneDrive (GAS's own working files) and Upwork (where an engagement runs through Upwork).
- Our own accountant or auditor, and government bodies when the law requires it.
6. Overseas processing
Some of these providers store or process data outside Australia, mainly in the United States. We choose providers with strong security and contract terms. By engaging us, you agree that your information may be processed overseas for these purposes.
7. How we keep it safe
- Access to client systems uses each provider's own login and permissions.
- Connection keys and passwords stay on GAS-controlled devices and are never emailed.
- We keep only what the engagement needs. Working copies are deleted or archived when the engagement ends, unless the law requires us to keep records.
If a data breach is likely to cause serious harm, we will tell you and the Office of the Australian Information Commissioner (OAIC), as the Notifiable Data Breaches scheme requires.
8. Seeing, correcting or deleting your information
You can ask to see or correct the personal information we hold about you. Email us and we will reply within 30 days. Client accounting data stays in your own system, so you can correct it there or ask us to.
9. Complaints
Please email us first. We will look into it and reply within 30 days. If you are not satisfied with our reply, you can contact the Office of the Australian Information Commissioner at oaic.gov.au. The OAIC usually expects you to raise the matter with us first.
